6.2 Assigning Roles, Locations, and Teams

Assigning users to the correct Roles, Locations, and Teams is a critical part of setting up your LAAMP environment. These assignments not only define a user’s place within the organisation but also determine what training they receive.


This page explains how these groupings work and how they control the automatic distribution of Competencies and Courses.


What Are Roles, Locations, and Teams?

  • Roles: Represent a user’s job function (e.g. Electrician, Supervisor, Forklift Operator).

  • Locations: Represent physical or operational sites (e.g. Brisbane Workshop, Perth Site A).

  • Teams: Represent functional or shift-based groups (e.g. Night Shift Crew, First Aid Team).


Each user can be assigned one or more of each type. These assignments are used by LAAMP to determine which training is relevant to them.


Training Assignment Logic


When a Course or Competency is assigned to a Role, Location, or Team, it is automatically assigned to every user in that group.


Example:

  • A Coordinator assigns the “Site Safety Induction” Competency to Location: Darwin Warehouse

    → Every user assigned to Darwin Warehouse will receive that training in their My Task List.

  • A Competency is assigned to the Role: Plant Operator

    → All users with that role, provided there are Courses at their Location, will receive it.

  • A Logbook is assigned to the Team: Maintenance Shift B

    → All users in that team will be expected to complete entries.


This logic allows you to scale training distribution without managing users individually.


How to Assign Roles, Locations, and Teams

  1. Go to the User List and select the user you want to edit.

  2. In their User Profile, scroll to:

    • Locations: Add one or more

    • Roles: Select relevant job functions

    • Teams: Assign team memberships

  3. Changes are saved with the “Save” button.


Alternatively, you can assign users in bulk via the Location, Role, or Team management pages using “+ Add User”.


Best Practices for Group Assignments

  • Plan before assigning: Structure your Roles and Locations in a way that aligns with real operational divisions.

  • Use Teams for flexibility: Great for managing temporary crews or non-role-based groupings like Fire Wardens or Project Teams.

  • Keep names consistent: Standardise naming across similar roles or teams to reduce confusion and reporting errors.

  • Review regularly: Ensure users are still in the correct group as their responsibilities change.
